The Operations Coordinator role is pivotal in ensuring the smooth execution of operational activities. Responsibilities include coordinating and supporting the development of new technical and non-technical solutions, overseeing their implementation across multiple use-case environments. Working closely with cross-functional teams, including product development, implementation, and partner support, the Operations Coordinator ensures that contracts are delivered punctually, within scope, and with a focus on high quality. A Bachelor’s degree in administration or equivalent experience is required, and a project management certification would be advantageous. 1-year contract with an option to renew based on performance and funding.
 
DUTIES:
  • Providing administrative and logistics support to the Chief Operating Officer.
  • Monitoring and mapping operational processes to highlight bottlenecks and support smooth and efficient delivery.
  • Monitoring and ensuring resource capacity to support delivery and planning of project work.
  • Maintaining open and transparent relationships with key role players within OCL to gather or provide critical information for decision-making and planning.
  • Creating tools and reference documents to support operational effectiveness and accurate record-keeping.
  • Fulfilling this role according to OCL’s aspirational culture, leadership brand and work ethos.
  • Growing professionally and developing personal competence to fulfil this role in a rapidly scaling and increasingly impactful organisation.
 
REQUIREMENTS:
Qualifications:
  • Bachelor’s degree in administration OR equivalent experience.
  • Project management certification is advantageous.
Skills and technical expertise:
  • Knowledge of the civic tech environment is advantageous.
  • Knowledge of the NPO environment is advantageous.
  • Knowledge of and experience working with Notion, Slack, Microsoft, Google Suite, Toggl etc. would be an advantage.
  • A basic digital vocabulary and the ability to understand and learn about technical concepts.
Experience:
  • Operations coordinator experience in a tech environment.
  • Project management experience is advantageous.
  • Experience documenting processes and reporting internally.
  • Experience implementing systems and processes within an organisation.
